PETTY CASH - POLOKWANE
Delegated Staff:
All Staff ,
Creditors Clerk, Managers & Directors
1.
A staff member approaches the Creditor’s Clerk for
petty cash to purchase items necessary.
2. Fill in a petty cash voucher and let the staff
member sign on the voucher for the amount advanced, after the Dept.
manager has signed for authorisation.
3. The staff member is to furnish you, within 3 days
from receipt of petty cash advance, with a cash purchase slip and the
relative change.
4. Each individual claim must be processed on the
Petty Cash Analysis Template, then it should balance back to your float.
5. Prepare the
Cheque / EFT Requisition Form for reimbursement of Petty
Cash claims.(see Cheque / EFT Requisition process)
6. On receipt of cheque for reimbursement, cash the
money at the bank and place in the Petty cash tin.
7. At month end the Financial manager, checks that the
petty cash vouchers and the money in the tin balance to the original
float and signs on the excel spreadsheet for filing.
Expense Claims:
Whenever a staff member wants to claim back expenses paid by themselves,
from the company, an
Expense Claim Form
must be completed and signed by the departmental
Manager or Director and submitted to the Creditors Department for a
refund. All slips, accounts for the expenses incurred must be attached
to the claim form.
THE PETTY CASH TIN IS LOCKED IN THE SAFE EVERY
EVENING BEFORE LEAVING. Document Retention List |
