OPENING NEW ACCOUNT ON AS400

Delegated Staff: Financial Manager, Sales Reps., Sales Support, Sales Coordinator & Systems Operations Manager.

Sales Dept/ Sales Reps:

1.     The Sales Dept/ Sales Reps Submit a New Cash Deal or Rental Deal to the Sales Support. The Sales Support will check the deal if all the documentation are complete and attached.

 

2.     The Sales Support gives the deal through to the Sales coordinator for processing.

 

 

3.     The Sales Coordinator will verify if this is an existing or new client on AS400 - if new - the Sales Coordinator needs to open a New Account for the Customer.

 

4.     The Sale Coordinator needs a completed Credit Application Form with the following info:

·         Customer’s/ Company’s Registered Name

·         Address

·         Contact number(s)

·         Company Registration number

·         Vat number

·         email address

·         ID document - before opening of account.

 

5.     If it is a Cash Deal / New Customer - the Sales Coordinator will open an Account for the customer on COD (003).

 

6.     If it is a Rental Deal/ New Customer – The Sales Coordinator will open an Account for the Customer under one of the Credit Controllers “Codes” for collection of Debit Orders/ outstanding money. (If unclear under who’s name/ code to open – the Financial Manager to make decision and sign on Application).

 

Consumable Dept:

1.     The Consumable Sales Reps will submit an Credit application form with the relevant documentation (Id’s etc.- as mentioned above) to the Sales Coordinator.

 

2.     The Sales Coordinator will make sure that it is a new client and not an existing client on the AS400.

 

3.     The Sales Coordinator can now open the account on COD/003 for the Consumable Dept.

 

4.     The Sales Coordinator to communicate with the Consumable Dept and give the New Account number through to Consumable Dept. for invoicing.

       The Request to Opening a New Account requires the following documentation to be attached:

·         Credit Application Form

·         ID Copy/ copies

·         Cancelled Cheque (if required)
