METER READINGS PROCEDURE

Meter Reading Clerk and Field Engineer.

 

 

Our Machines

The Meter reading clerk is given the Meter Reading Creation Report, which is created by the AS400 on a monthly basis. This report contains a list of all our machines in the area that has Service Contracts.

The Meter reading Clerk then requests the serial number and meter reading and phones the client. At the same time the addresses, telephone numbers and new contact persons can also be confirmed and updated should the need arise.

Should the Meter Reading Clerk not be able to contact the client for some unknown reason, a Meter Reading problem call is logged for the field engineer to investigate the reason. If the machine’s contract has expired or the machine is exceeding the maximum copy limit a sales representative is then sent out to the client for upgrade.

The readings are then captured per area onto the AS400 on a daily basis before the due month end dates.

* Machines linked to Pro-act are automatically captured on AS400.

A dummy run is printed the day before the month end to make all necessary changes and correct mistakes.
 

    6. Should a meter reading not move (Click over) for that particular month, the Meter reading clerk will log a call for a technician to go out and check the machine.

Machines owned by other Franchises that are situated in our Service area are also read. The lists are faxed through to the Meter Reading Clerk who then phones the client as per procedure explained above.

The readings are filled in and and faxed back to the relevant Franchise who owns the machine.
