PARTS PROCEDURE, BOOTSTOCK & CANNIBALISATIONS

PARTS

Engineer logs off call as awaiting spares. The AS400 automatically generates a form, which is given to the Service Controller to book out the spares.

If the spare/s is available it is shipped and invoiced against the engineer's account number. He signs for the spare on the picking ticket or spares requisition form once he receives it and is then released into his boot stock.

Engineer goes out to do the call and then logs off the call with part number of the spare/s that was replaced.

Should the spare not be in stock the Service controller will order on the weekly schedule using the Parts Ordering & Back orders Form for Polokwane ( WH2 ).

Once the Parts Coordinator receives spares, she transfer's the stock to her w/h(2) status showing I to P ( Inventory to work in progress) on the AS400 system.

Once the spares are delivered to the service controller, she then receives the transfer list, physically checks the quantities and packed into their correct bin locations. The Service controller then transfer’s the spares from w/h 2 to w/h 81 status showing P to I ( Work in Progress to Inventory) and updates the back orders together with the new order.

PCB Repairs – Engineer brings the PCB into the workshops, fills out a Problem Report and then sticks a bar coded sticker onto the PCB, which is used as a reference number. The PCB and Problem Report is then sent to the Parts Co-Ordinator in Polokwane.

Once the PCB is repaired the Parts Co-Ordinator transfers the PCB (see above transfer procedure) on the AS400 and sends the PCB back to the Service Controller.

Note: Tzaneen Spares (Warehouse 80) holds minimum stock quanties and we normally base these quanties according to the average usage on the AS400.Perishable and expensive stock such as Drums, Developers and PCU's are stored in minimun quantities of at least 3 (Three) units and the balance of other spares such as Gears, Springs etc. are held in minimum quantities of 4 (Four). If an emergency arises and these quantities are not sufficient we can have emergency stock delivered from Polokwane the next morning.
 

 CANNIBALIZATIONS

The Engineer fills in a Request Parts to be linked to Spares BOM form and submits it along with the parts manual and the diagram to the Service Controller who then sends it to the Parts co-Ordinator to process. Only then the call can be logged off.

Should parts be cannibalized the Engineer in Tzaneen calls the Parts Co-Ordinator to instruct a Engineer in Polokwane to cannabalise a part for him. The part is sent to Tzaneen and the engineer goes to the client to replace the part and logs off the call on completion.

BOOTSTOCK

As mentioned above, the Engineers signs for the spares on picking ticket, spares gets released into his bootstock and logs off the call with parts numbers that was replaced.

If an Engineer has to draw from another Engineer, the Service Controller is to transfer from the one to the other. If a part has not and should have been logged off on a call, then the Service Controller is to log off the spares on the call history.

The Service Controller will print out a boot stock list from the AS400 on a weekly basis to check if all parts have been logged off on the relevant calls and to check the remaining physical stock.

The Service Controller files the picking tickets, Warehouse Requisition form & boot stock adjustment form together for 2 months.

Should the call be already logged off, but is now a problem call i.e. Meter Reading or Contract Update, the Service Controller (Tzaneen) is to correct this with the Systems operations Manager in (PolokwaneTzaneen).
